A spec gets broken in the budget meeting, not in design. The ones that hold name what the product has to do, rank which attributes can move and which cannot, and require written approval before an alternate gets ordered. The brand is the easiest part of a spec to lose.
A spec does not usually fail in the design phase. It fails in a meeting you are not invited to.
The bid comes back high. Somebody circles the window and door package. An alternate gets proposed, the numbers work, and the decision gets made on price and availability by people who were not there when the elevation was drawn.
Nobody is being difficult. That is a normal budget conversation.
But it means the spec has to hold an argument without you in the room.
Most specs are not built to do that. They name a product. They do not name what the product has to do, or what breaks in the design if it changes.
This is about writing the second kind.
Where does a spec actually get broken?
Three places, and only one of them is the drawing.
The bid. Someone needs a number, and windows and doors are one of the largest single lines on the sheet. It gets circled.
Availability. A size, a line, or a configuration is not available in the window the schedule needs. Something has to give.
The field. A condition is different from the drawing, and the fix gets made by whoever is standing there.
You can write a spec to defend against the first two. The third one is a phone call, and the spec’s only job there is to make clear who has to make it.
Why doesn’t naming a brand protect the design?
Because a brand name is easy to compare and easy to beat.
If the spec names one line and one model, the substitution conversation becomes brand against brand. Two names, two prices. Price wins that argument almost every time, because it is the only measurable thing on the table.
Name what the unit has to do and you change what is being compared.
Sightline dimension. Frame depth. How the mulls line up across an elevation. Glass coating and what it does to the color of the light. Grille type. Screen color. Interior finish.
Now an alternate has to meet criteria instead of just being cheaper. Some alternates will meet them. That is fine, and it is the point. The ones that cannot fall out of the conversation without anybody having to defend a preference.
A spec built on criteria can lose the brand and still get built the way you drew it.
Which parts of the spec should hold, and which can move?
Most specs treat every line as equal weight. They are not equal. If you do not rank them, somebody else will, and they will rank by price.
Put the ranking in the document.
Usually should not move, because the room notices:
- Sightline and frame dimension, especially where units sit side by side
- Mull configuration and alignment across an elevation
- Glass coating, because coatings shift color and two coatings in one room read as a mistake
- Grille type. Simulated divided lite, grille between glass, and applied grilles are three different looks at three different prices, and none of them substitutes for another
- Operation type where it changes the sightline, not just the function
- Jamb depth against the actual wall assembly
Can often move without hurting the design:
- Hardware finish, when it is not a signature element
- Screen frame, within reason
- Interior finish on units that get painted anyway
- The brand itself, when the criteria above are met
Write the first list as required. Write the second as preferred. That one distinction does more work than another page of detail.
What language actually holds up?
Short and specific beats long and thorough. Three lines carry most of the weight.
Substitutions require written approval before the order is placed. The most useful sentence in a window and door spec. It does not stop substitutions. It moves the conversation to a point where changing course is still cheap.
Submit a physical sample for approval on anything visible. A cut sample answers in ten seconds what a spec sheet takes ten minutes to argue about.
Provide the order acknowledgment for review before release. Most architects never ask for this. It is the last document that exists before the unit becomes a physical object with somebody’s name on it.
Then add one sentence naming what the design depends on. Something like: sightline dimension and mull alignment across the rear elevation are not to change. One plain sentence is harder to ignore than a table.
When is a substitution actually fine?
Often.
An architect who treats every alternate as an attack gets routed around. The substitution happens anyway, just later, and without them.
If the criteria are met, the elevation reads the same, and the savings are real, take them. Say so out loud. It buys credibility for the two or three places in the house where you cannot move at all.
Save the fight for the elevation everybody sees.
What should you settle before the spec is issued?
Call the supplier while you are still drawing.
Three things are worth knowing early.
What the line can actually build. Maximum sizes, available configurations, and what crosses into custom.
Whether it exists. Not the lead time, because those move by line and by season. Whether the thing exists in the configuration you drew.
What the coating does to the glass color. In person, in daylight, next to the other coating you are considering.
Do that and you avoid the worst version of this problem, which is a design only one line can build.

Send the drawings before the spec is final.
